Do you want to know what your drivers are spending on fuel? Perhaps you are worried that your fuel costs are too much due to driver behaviour issues or other reasons? There are plenty of ways to check on your drivers, but one of the most effective is finding a product that does the work for you.
Fuel cards for business use are perfect if you want to see the details of your drivers’ transactions on fuel each week. You do this through the fuel card option. You obtain a card that offers you discounts at the pump or a fixed fuel price. Then you can set up the online account manager to help you track the transactions that are ongoing.
The online account management is an option with most of these cards and companies. You get online access that you set up based on your ID and password. You can log in 24/7 to look at the invoices, obtaining new cards, and looking at fleet management reports.
From the online system you are also able to look at weekly information. Any time there is a new transaction it will generally show up. If not you may need to request that the company create weekly invoices for you so that you may look at the different cards and drivers to see if there is any overspending in fuel.
You may find that some of the cards require a different invoice due to the separate fuel centres. This can be slightly difficult for you to keep track of, but then you have the online account management and you also have several petrol stations that can be used.
If a driver forgets their card there is even something you can do about this. Let your drivers know that most of the fuel card companies offer you a way to use the account number. All you have to do is call with the account number and the company can then add in the information. There will be security questions that need to be asked, but you can at least track the charge that was made without the fuel card. It helps for the driver to keep the receipt. In some cases you may also be able to get the discount added to the invoice in order to make the payment correct. It just depends on the company you go with.
